Assistant Event Coordinator Position

Job Overview

Essential duties and responsibilities include the following. Other duties may be assigned as needed. Responsible for guest interactions and day of event coordination/execution. Responsibilities include serving food and beverage with friendly, individualized attention focusing on the company core values. Directly assists Director of Sales and or Managers/Wedding & Event Planners on administrative work.



1 year experience as a server is preferred.

Must have a flexible schedule and the ability to work evenings, weekends and/or holidays based on business demands.

A working knowledge of the practices and procedures of safe food handling.

Excellent customer service skills.

Friendly demeanor and positive attitude.

Ability to work in a team.

For catering, must have a clean driving record.


Duties & Responsibilities


Maintain the highest quality and consistent customer service.


Meets and greets clients and guests.


Follow all company procedures.


Responds proactively to customer complaints.


Maintains professionalism and is friendly and approachable towards guests and staff.


Coordinates with General Manager of The Pinery at The Hill, Sous and Executive Chefs of Pinery at The Hill and other departmental and Executive Managers.


Oversees all functions per BEO and event coordinator specifics. Reports directly to the Event Coordinators. Must be familiar with all current and upcoming event details.


Must be familiar with all menu items noting allergies and dietary restrictions.

Conducts tours and takes detailed inquiries which are immediately submitted to Director of Sales.


Understands basic pricing structure.


May be asked to take charge at some point one or few of the following:

-Filtering phone calls, answering busy questions and gathering more information as needed.


-Reconciling contracts and noting deposit and contract submissions.


-Posting next week’s event schedule for host/hostess on Thursday the week before.

-Linen inventory and reporting directly to Director of Sales in regards to discrepancies.

Works with Event Manager and Planners to ensure event execution meets and exceeds standards.


Ensures all functions are set and staff is prepared and organized before required time on BEO.


Must be meticulous and detailed.


Ensures that events are properly equipped and executed by transporting, pulling and setting up and breaking down, as well as returning equipment to designated storages in compliance with event standards and instructions.

Clean, organize and restock equipment/product when returning from catering events.


Responsible for making the function space visually appealing and presenting the menu offering for the event.


Assists with set-up of tables, linens, chairs, etc. and coordinates staff to set up according to plan.


Reports safety hazards to manager on duty. Reports all employee accidents to manager on duty.


Have knowledge of food safety policies and procedures. Have in depth knowledge of food preparation and presentation.


Maintain sense of urgency when on service floor.


Maintain service areas and side works duties for overall productivity of banquet events. Responsible for overall sanitation and cleanliness of the work areas, banquet rooms, and storage areas.


Responsible for the proper usage and good working order of all equipment, furniture and fixtures in Banquet areas. Reports necessary repairs to general manager and may help coordinate repairs as necessary.


Responsible for consistently implementing the service standards and operating procedures in banquet service.


Provide unique and creative ideas to enhance meetings & group experience.


Helps to resolve staff and customer concerns quickly and efficiently.


Complete all other duties as assigned.

Education: Entry level position. 1 year related experience preferred.

Hours and Availability

Hours vary depending on business demand. 30 hours minimum. All scheduling approved by Manager.
